Map the dealership by customer and operating use
Confirm every building and department: new and used showrooms, sales offices, finance offices, customer lounges, restrooms, parts, administrative areas, training rooms, service write-up, technician welfare areas, service bays, body shop, vehicle delivery, and exterior entrances.
Ask about weekday, evening, weekend, month-end, event, and delivery schedules. Determine when vehicles move, when floors are available, whether staff remain on site, and which public areas must be ready before opening.
Protect the showroom presentation scope
Record glass quantity and height, entrance mats, floor material and finish, furniture, displays, customer beverage areas, children's areas, high-touch surfaces, and visible dust points. Confirm who moves vehicles, signs, displays, chairs, and merchandise before cleaning.

Separate service operations from ordinary janitorial work
Walk service write-up, parts, locker rooms, technician restrooms, bays, body-shop boundaries, and waste areas with an authorized manager. Ask about grease, oil, tire marks, absorbents, drains, chemicals, shop towels, parts, batteries, sharp debris, and hazardous or regulated materials.
State whether the base service includes only offices and employee areas or also specific bay-floor and equipment tasks. Do not include vehicle cleaning, machinery, lifts, pits, hazardous spills, regulated waste, or production tools unless your company has accepted a verified, supportable scope.
Make presentation levels and add-ons visible
Build the recurring plan from the confirmed zones and frequencies, then price glass, floor projects, event resets, service-bay work, pressure washing, high dusting, or other periodic services as included schedules or clear options. Confirm who supplies specialty chemicals and equipment and who approves compatibility with dealership surfaces.
The proposal should state operating-hour assumptions, vehicle and display dependencies, included glass, service-area boundaries, event treatment, exclusions, and change rules. This gives the buyer choices without forcing the contractor to absorb every appearance request into one monthly figure.
