Begin with the service framework

Name the facility, included buildings or areas, operating schedule, service days, cleaning window, intended start, and known occupancy or traffic assumptions. Identify the documents or walkthrough facts the scope is based on.

Use an area-task-frequency structure

Group tasks under recognizable areas, then assign a frequency that can be estimated and audited. Daily, service-visit, weekly, monthly, quarterly, annual, and on-request frequencies mean different things; define them when the buyer could interpret them differently.

Use outcome language carefully. 'Maintain a professional appearance' can describe an objective, but operational tasks and frequencies still need to explain the baseline work behind that result.

Separate routine, periodic, and additional work

Routine work supports the recurring price. Periodic services such as carpet extraction, floor refinishing, high dusting, or exterior glass should show their included frequency or be identified as separately authorized work.

  • State who provides chemicals, equipment, liners, paper, soap, and dispensers
  • Identify client tasks, contractor tasks, and shared dependencies
  • List excluded services and areas instead of relying on silence
  • Explain how emergency, event, construction, and out-of-scope work is approved

Connect quality control to the written scope

Describe the practical inspection, communication, and correction process your company can actually deliver. Name the contact path, issue logging method if applicable, review cadence, and escalation process without making guarantees you cannot support.

When the facility, frequency, occupancy, responsibility, law, or buyer request changes, require a documented review of operational and price impact. The change rule protects both sides from silent scope growth.
